Process Automation

Business process automation services for SMEs in India

Process automation takes the repeat work your staff do by hand, such as typing invoices into Tally, chasing approvals on WhatsApp, building the Monday report in Excel, or matching bank entries to ledgers, and makes software do it. It is for owners and COOs of firms with roughly 10–500 staff who run on Tally, Zoho, Google Workspace and WhatsApp. The expected result is fewer hours of re-keying and chasing, fewer errors, and reports that arrive on their own. A first automation pilot typically costs ₹3–7 lakh ($3,500–8,000) and takes 4–8 weeks, with a success metric agreed in writing before we start.

Who this is for

  • Owners whose accounts team re-types the same data two or three times: from a WhatsApp order into a Sheet, then into Tally, then into a report.
  • COOs who approve purchase orders, discounts or leave by forwarding messages, and lose track of what was approved and when.
  • Finance heads who spend the first week of every month on reconciliations and GST working files.
  • Distributors and manufacturers who send status updates to customers by hand and get calls when they forget.
  • Firms that already pay for Zoho or Google Workspace but use a small part of what the tools can do.
  • UAE back offices handling VAT returns and WPS salary files with copy-paste between systems.

What we build

  • Approval flows: purchase orders, discounts, expenses and leave sent to the right person on WhatsApp or email, with one-tap approve and a log of who approved what.
  • Invoice and bill capture: supplier bills read from PDF or photo, GST fields checked, and posted to Tally or Zoho Books for a human to confirm.
  • Report generation: daily sales, receivables ageing, stock and cash reports pulled from Tally, POS or Sheets and sent each morning without anyone building them.
  • Reconciliations: bank statements, payment-gateway settlements and customer ledgers matched automatically, with only the mismatches shown to your team.
  • Notifications: alerts for overdue receivables, stock below reorder level, dispatches not updated, or a quotation sitting unanswered.
  • System sync: customer, item and invoice data kept the same across Tally, Zoho CRM, Google Sheets and your website or ERP.
  • Document generation: quotations, delivery notes and GST invoices created from a form or a chat message in your own format.

Typical scope

A pilot usually covers one process end to end, such as order to invoice or bill to payment, touching two or three systems. We start with the single process that costs the most hours in the Discovery Sprint or the free audit, build it, run it alongside the old way for a couple of weeks, then switch. We use n8n or Make where a standard connector exists, and write custom code where Tally or an older ERP needs it. Process automation is not RPA bots clicking on screens, and it is not a new ERP. It also is not the right answer when a feature you already pay for does the job: Zoho Books can send payment reminders, Tally can email reports on a schedule, and Google Workspace has approval add-ons. If one of those is enough, we will tell you in the free audit and not sell you a pilot.

What you receive

  • Working automations in production, running on n8n, Make or custom code, hosted in your own accounts.
  • A written flow diagram for each automation showing triggers, steps, systems and what happens on failure.
  • Access, credentials and admin rights in your name, not ours.
  • A short operating guide for your staff, in plain English, with screenshots.
  • A measurement sheet comparing the agreed success metric before and after the pilot.
  • A fixed-price list of the next automations, if you want to keep going.

Process Automation: questions owners ask

How much does business process automation cost for a small company?

A first pilot that automates one process end to end typically costs ₹3–7 lakh ($3,500–8,000) and takes 4–8 weeks. Tool licences are extra and small: n8n can be self-hosted at no licence cost, and Make charges by the number of operations each month. If you did a Discovery Sprint first, that fee is credited against the pilot. After go-live, support is optional, from ₹1 lakh/month ($1,200/month).

Do we need to replace Tally or our ERP?

No. Tally stays as your book of record. Automation sits around it: it reads from Tally, writes to Tally, and moves work between Tally and WhatsApp, Sheets, Zoho or email. A study reported by Business Standard in October 2026 found 65.8% of surveyed MSMEs use AI tools but only 21% deploy ERP or customised business software (https://www.business-standard.com/amp/economy/news/two-thirds-of-msmes-use-ai-but-only-21-deploy-business-software-study-126101301191_1.html). Most firms do not need a bigger ERP; they need the gaps between their current tools closed.

n8n, Make or custom code: which one will you use and why?

We pick the cheapest option that will still be running in three years. Make is quick for standard connectors and small volumes. n8n is open source, can run on your own server, and handles more complex logic without per-step fees. Custom code is used only where neither can talk to your system, which is common with Tally and older ERPs. You get the reason for each choice in writing.

What happens when an automation breaks?

Every flow we build has a failure path: the step is retried, and if it still fails a person on your team gets a message with what to check. Nothing is silently dropped. During the pilot we watch the flows daily. After go-live you can run them yourself with the operating guide, or take a retainer from ₹1 lakh/month ($1,200/month) for monitoring and changes.

How will we know the pilot worked?

Before we build, we agree one success metric in writing, such as hours per week spent on data entry in accounts or the number of invoice errors per month. We measure it in the first week and again at the end of the pilot. You see both numbers. If the metric did not move, you know before you spend more.
