AI Knowledge Systems

AI knowledge base for company documents: search SOPs, contracts and price lists by chat

An AI knowledge system lets your staff ask a question in plain Malayalam or English, on WhatsApp, Teams or a web page, and get an answer drawn only from your own documents: SOPs, contracts, product manuals, price lists, HR policies. Every answer shows which document and page it came from. It is for owners and managers of firms with roughly 10–500 staff who answer the same questions all day, or whose new hires take months to learn what the old hands know. The expected result is fewer interruptions to senior people, faster onboarding, and fewer mistakes from old versions of a price list. A pilot typically costs ₹3–8 lakh ($3,500–9,500) and takes 4–8 weeks.

Who this is for

  • Owners and managers who are the walking manual: staff call them for prices, terms, procedures and “where is the file”.
  • Distributors and manufacturers with price lists, schemes and product specs that change often and live in many WhatsApp groups.
  • Professional-services firms and CA practices with contracts, filings and client rules that juniors must look up correctly.
  • Healthcare operations, hotels and facility firms with SOPs that staff must follow but rarely read.
  • Companies with a UAE branch where staff need the same answers in English and Arabic as the Kerala office gets in Malayalam.

What we build

  • A document store that pulls in your SOPs, contracts, manuals, price lists and policies from Google Drive, SharePoint, email or a folder, and keeps them in sync.
  • A chat interface on WhatsApp, Microsoft Teams, Slack or a simple web page, so staff ask where they already are.
  • Retrieval that answers only from your approved documents, quotes the source and page, and says “I don't know” rather than guessing.
  • Permissions by role: a sales rep sees price lists, not payroll; a site engineer sees method statements, not contracts.
  • Malayalam and English questions on the same documents, with Arabic for UAE teams if needed.
  • Version control: when a price list or SOP changes, the old one is retired and the answer changes the same day.
  • A usage log showing what people ask, so you know which documents are missing or unclear.

Typical scope

A pilot usually covers one set of documents for one team, such as the price list and scheme circulars for the sales team, or the SOPs and checklists for operations. We load the documents, build a test set of real questions, tune until your own experts agree the answers are right, then roll out. This is not a general ChatGPT subscription for your staff and not a document management system; it sits on top of wherever your files already live. If you are a small team with a few dozen files, good folders in Google Drive and the search bar may be all you need, and a paid AI chat plan for a few staff is cheaper than a build. The system earns its cost when documents are many, change often, and the wrong answer costs money.

What you receive

  • A working knowledge assistant on the channel your staff use, connected to your document sources.
  • Role and permission setup, with an admin guide for whoever owns it after handover.
  • A test set of real questions from your staff, with the answers checked by your own experts before go-live.
  • Hosting in your own cloud or AI provider account, with the data staying under your control.
  • A monthly running-cost estimate based on your document size and question volume.
  • A measurement sheet comparing the agreed success metric before and after the pilot.

AI Knowledge Systems: questions owners ask

How much does an AI knowledge system cost?

A pilot for one team and one set of documents typically costs ₹3–8 lakh ($3,500–9,500) and takes 4–8 weeks. After that there is a monthly running cost for the AI provider and hosting, which depends on how many questions are asked and how large the documents are; we give you an estimate from your real numbers before we build. Ongoing changes and new document sets can be covered by a retainer from ₹1 lakh/month ($1,200/month).

Does our data get used to train the AI?

No. We use AI providers on business terms where your documents are not used for training, or host the model in your own cloud account where that matters. Your documents stay in your Drive or server; the system only reads them. You can see and revoke access at any time, and the whole thing runs in accounts that belong to you.

Will it give wrong answers?

Sometimes, which is why every answer shows its source so the person can check in one click. We reduce wrong answers three ways: the assistant only answers from your documents, it says “I don't know” when the documents do not cover the question, and your own experts review a test set before go-live. For questions that must be exact, such as a contract clause or a price, the assistant quotes the text rather than rewording it.

Can staff ask in Malayalam?

Yes. Staff can ask in Malayalam, English, Manglish or Arabic, and the answer comes back in the same language even when the document is in English. This matters on shop floors, in warehouses and on sites where English is not the working language. We test with your staff's real questions in their real words.

Do we need to move our files out of Google Drive, Tally or our ERP?

No. The system connects to where files already live: Google Drive, SharePoint, a shared folder, email attachments. Price lists in Tally or Zoho can be read directly so the answer always matches the current rate. We never ask you to move your documents into our system; the assistant comes to your files.
