There is no setting inside TallyPrime that turns WhatsApp orders into sales orders. What you can do, in rising order of cost, is: use Tally's built-in "TallyPrime with WhatsApp" feature to send invoices, reminders and reports out of Tally for ₹1,300 a year plus GST (about $16); add middleware such as n8n or Make that reads incoming WhatsApp orders and posts them into Tally as vouchers, typically ₹2–6 lakh ($2,400–7,000) to build; or commission a custom order app with a WhatsApp front end and a Tally sync at ₹3–10 lakh ($3,500–12,000). This guide is for distributors, manufacturers and traders in Kerala and across India whose billing lives in Tally and whose customers live on WhatsApp.
Does Tally have WhatsApp integration built in?
Yes, for sending. TallyPrime Release 4.0 added "TallyPrime with WhatsApp", which Tally's partner Interakt says rolled out on 12 December 2023. Tally's help page describes it plainly: "Now send documents directly from TallyPrime to your parties on their WhatsApp numbers" (Tally help). You can send invoices and other vouchers, reminder letters, ledger statements and reports, and invoices with a Pay Now link.
The product page also says you can "Manage all incoming messages from customers in a dedicated WhatsApp inbox" (Tally). That is an inbox for replies, not order intake: a retailer's "send 10 cases of 500 ml" does not become a sales order in Tally.
Option 1: Tally's own WhatsApp feature
What it does. Pushes documents from Tally to a party's WhatsApp number using approved templates, from inside the voucher or report screen. Customers can pay from a link in the message.
What it needs. A WhatsApp Business account created through Interakt (Tally's solution provider), Meta business verification, an active subscription, approved templates, and a WhatsApp number in each party ledger (Tally help).
What it costs. Tally lists the subscription at ₹1,300 a year plus GST (about $16) and a prepaid message wallet from ₹675 plus GST (about $8). The licence itself is separate: TallyPrime Silver is ₹22,500 plus GST (about $270) one-time and Gold is ₹67,500 plus GST (about $800), or ₹750 and ₹2,250 a month on rental (Tally cost guide).
Fits when. Your problem is outbound: invoices and reminders go out late or by screenshot, and collections lag. Half a day to set up. If orders coming in are the problem, go to Option 2.
Option 2: middleware that pushes WhatsApp orders into Tally
How it works. Your business number moves to the WhatsApp Business Platform (the API) through a provider. An automation tool (n8n, Make, or a Tally integrator's add-on) receives each message. Orders arrive through a short order form in chat, or as free text that a parsing step turns into item, quantity and rate lines. The tool writes the order to a Google Sheet for a human to glance at, then posts it to Tally.
The Tally end is a documented interface. In Tally's words, "TallyPrime delivers web service-like functionality by exposing its internal data and operations via XML over HTTP" (Tally help). You enable the HTTP server in Advanced Configuration (port 9000 by default), and the tool posts an XML envelope that creates a sales order or voucher against the right party and stock items. Tally replies with how many records were created and how many errored. A TDL add-on from a Tally partner can do the same job from inside Tally.
What it costs. Meta bills per delivered template message; "Utility template messages sent within an open customer service window are free" (Meta for Developers), and a published India rate card puts utility messages at about ₹0.115 ($0.0014) each outside that window (ChatMaxima). Three hundred confirmations a day is roughly ₹1,000 a month ($12). n8n Cloud starts at €20 a month (about ₹1,900 / $22) and the self-hosted edition is free (n8n pricing). The build (discovery, item mapping, order form, parsing rules, Tally posting, two weeks of supervised running) is typically ₹2–6 lakh ($2,400–7,000) over 3–6 weeks. A Discovery Sprint of ₹1–3 lakh ($1,200–3,500) first is worth it if your item names are messy.
Fits when. 50–300 orders a day, one Tally company, item names that match between chat and Tally. This is where most of our WhatsApp automation conversations end up. For the order-side design, see how to manage WhatsApp orders.
Option 3: a custom order app with Tally sync
When rules pile up (retailer-specific price lists, credit limits that must block an order, multiple godowns, schemes), a sheet plus automation gets fragile. A custom app keeps WhatsApp as the front door (the customer taps a link in chat and sees their own prices and outstanding), applies your rules, and syncs clean vouchers to Tally. Tally stays the book of record; your CA sees nothing new.
Cost: a pilot of ₹3–10 lakh ($3,500–12,000) over 4–8 weeks, then a retainer from ₹1 lakh a month ($1,200) if you keep extending it. See custom business applications.
| Option | Cost (INR / USD) | Effort | Fits when |
|---|---|---|---|
| 1. TallyPrime with WhatsApp (built in) | ₹1,300/year + GST ( | Half a day | Sending invoices, reminders, reports out of Tally |
| 2. Middleware: Business Platform + n8n/Make + Tally XML | ₹2–6 lakh build ($2,400–7,000); ₹5,000–15,000/month running ($60–180) | 3–6 weeks | 50–300 inbound orders/day, one Tally company |
| 3. Custom order app + Tally sync | ₹3–10 lakh pilot ($3,500–12,000); retainer from ₹1 lakh/month ($1,200) | 4–8 weeks | Price lists per customer, credit limits, multiple branches |
What are the risks of connecting WhatsApp to Tally?
Be honest about these before you sign anything.
- Tally must be running. XML posting only works when Tally is open with the company loaded. If the billing PC is off at 7 am, orders queue. Plan for an always-on machine or a queue that retries.
- Port 9000 is a door. Never expose it to the internet. Keep the automation inside your LAN or behind a VPN. An open port lets anyone read ledgers and post vouchers.
- Dirty masters make dirty vouchers. "Coconut oil 1L" in chat and "COCO OIL 1 LTR" in Tally are different items. Every mismatch errors out or, worse, creates a duplicate stock item. Mapping is most of the work.
- GST follows the item. A voucher posted against the wrong stock item carries the wrong HSN and rate. Review the first 200 orders by hand.
- Vendor dependency. Tally's feature runs through Interakt; middleware runs through your API provider and automation tool. Keep templates, mappings and workflow exports where you can reach them.
- Opt-in rules. Only message customers who have written to you or opted in, using official channels. Unofficial bulk tools get numbers banned.
The wider context: a CII–ISB study of 2,919 MSMEs found 65.8% use AI tools but only 21% run ERP or customised business software. Most businesses asking this question have no middle layer at all. That is fine, as long as the glue is tested.
Should you just use Zoho Books instead of Tally?
Sometimes. Zoho Books has a native WhatsApp integration: connect your WhatsApp Business account, get templates approved, buy messaging credits, and send invoice and payment notifications from inside Zoho (Zoho Books help). India pricing starts at ₹899 a month (about $11) on the Standard plan, ₹749 (about $9) billed yearly, with a free plan while revenue stays under ₹25 lakh (Zoho Books India pricing).
Switch if: your CA is happy to work in Zoho, you have no TDL customisations you depend on, and you are early enough that migration is a weekend. Stay on Tally if: your CA and auditor insist on it, you work offline, or your stock and manufacturing setup is deep in Tally. Either way, order intake from WhatsApp still needs a form or middleware; Zoho, like Tally, only sends out.
How much does retyping WhatsApp orders into Tally cost?
Use the formula from our automation ROI calculator: hours per week × 50 weeks × loaded hourly cost. Assume a ₹25,000 a month salary, about ₹150 an hour ($1.80).
A Kochi manufacturer's two billing clerks each spend about four hours a day typing WhatsApp orders into Tally: 8 hours a day, 48 hours a week on a six-day week.
- Annual cost: 48 × 50 × ₹150 = ₹3,60,000 a year ($4,300).
- If Option 2 removes 70% of that typing, the saving is about ₹2,52,000 a year ($3,000).
- Against a ₹2.5 lakh ($3,000) build plus ₹60,000 a year ($700) running, payback is about 15 months on labour alone.
Add what wrong vouchers cost you (returns, credit notes, GST corrections) and the number improves. The same arithmetic applies in the UAE, with AED message rates and VAT in place of GST.
Frequently asked questions
Can TallyPrime receive orders from WhatsApp?
Not on its own. TallyPrime's built-in WhatsApp feature sends invoices, orders, reports and reminders out of Tally and gives you an inbox for replies. Turning an incoming WhatsApp order into a sales order or voucher needs middleware (n8n, Make or a Tally integrator add-on) that posts XML to Tally, or a custom app that does the same.
What does Tally's own WhatsApp feature cost?
Tally lists the TallyPrime with WhatsApp subscription at ₹1,300 a year plus 18% GST (about $16), plus a prepaid message wallet that starts at ₹675 plus GST (about $8). You also need a WhatsApp Business account, which Tally sets up through its solution provider Interakt, and approved message templates.
Does the integration work with a single-user TallyPrime Silver licence?
Yes. The XML-over-HTTP interface works on whichever computer runs Tally, and Silver covers one computer. That machine must have Tally open with the company loaded whenever orders are to be posted, so most teams run the sync on the billing PC or a small always-on machine.
Is it safe to open Tally's port 9000 to the internet?
No. Keep Tally's HTTP server on your local network or behind a VPN, and have the automation tool connect from inside that network or through a small sync agent. An open port 9000 exposes your ledgers and lets anyone post vouchers.
Should I switch from Tally to Zoho Books to get WhatsApp built in?
Only if your CA is comfortable with it and you have few Tally customisations. Zoho Books has a native WhatsApp integration for sending invoices and notifications, and its India plans start at ₹899 a month, with a free plan below ₹25 lakh revenue. It still does not take orders in by itself, so the middleware question comes back either way.
